Payment Policy
To secure your reservation on a selected trip, a non-refundable deposit of $200 is required within three days of receiving confirmation of availability. You will receive a confirmation email within 48 hours of submitting your reservation form. The balance of your payment must be received at least 60 days prior to trip departure. If the balance is not received, your reservation and full deposit will be forfeited.
Prices are listed in U.S. dollars and are based on double occupancy (room shared with another trip attendee or friend/partner) or for private room where specified. Prices DO NOT include flights.
Trip Cancellations
It is your responsibility to read and understand our cancellation policies before making a reservation. We strongly recommend purchasing trip cancellation insurance after making your reservation.
Definitions
"Cancellation" is defined as not attending your scheduled trip, including postponing or rescheduling.
"You" refers to the guest booking the Tern Travel trip.
"We" refers to Tern Travel LLC also referred to as Tern Travel, and its subsidiaries, affiliates, and partners.
Guest Cancellation Policy
If it becomes necessary for you to cancel your trip, you should notify us immediately. All cancellations must be received in writing via email. Depending on when you cancel, cancellation fees may apply. The following table outlines the Cancellation Fee Schedule. All refunds do not include the $200 non-refundable deposit.
If you cancel 61 days or more prior your trip start date, you will receive a 100% refund.
If you cancel 46-60 days prior to your trip start date, you will receive a 75% refund.
If you cancel 31-45 days prior to your trip start date, you will receive a 40% refund.
If you cancel 15-30 days prior to your trip start date, you will receive a 20% refund.
If you cancel 14 days or less prior to your trip start date, you will forfeit your entire payment.
If your company matches or contributes to any portion of the cost of the trip, that portion is non-refundable.
Travelers may transfer their payment (or applicable refund amount) to another scheduled trip within two years of the original trip purchased date.
Exceptions to the outlined policy cannot be made for any reason. We do not offer credit for guests arriving late or leaving early.
Tern Travel Cancellation Policy
Tern Travel reserves the right to cancel trips that are below the guest count minimum (usually six persons). All trip attendees will be notified a minimum of 30 days before the start date and are entitled to a full refund or transfer of your full payment to another scheduled trip. In the event of a trip cancellation, Tern Travel is not responsible for additional expenses incurred by guests (e.g., non-refundable air tickets, medical expenses, passport and visa fees or any other costs in preparation for your trip).
If Tern Travel cancels any trips due to acts of insurrection, acts of God, or any other cause beyond its control, refunds will be based upon the difference between the trip price and the cost of non-retrievable costs we incur in preparation for your trip.
Insurance, Health, and Release of Liability
Insurance
It is the sole responsibility of each guest to obtain adequate medical and travel insurance that covers the individual for all medical treatment while travelling abroad. Though not required to attend one of our trips, Tern Travel will not be held liable in any way for your failure to purchase adequate insurance while travelling abroad.
Health Precautions
Tern Travel reserves the right to disqualify anyone at any time before or during the trip for medical or psychological reasons. Each trip guest is solely responsible for his or her own medical expenses. We cannot refund costs of medical examinations or any other expenses incurred in preparation for a trip. If you arrive to a trip with a pre-existing condition or injury that was not disclosed in writing to Tern Travel and you are subsequently disqualified from participating in any of the scheduled activities because of this condition, you will not receive any sort of refund. All health information is considered confidential and will be treated as such.
Release and Limitation of Liability
Tern Travel, its employees, officers, and directors (collectively, “Tern Travel”) does not own or operate any entity which is to provide goods or services for your trip, including but not limited to, accommodation, transportation companies, guides or personal trainers, food providers, equipment suppliers, etc., including, without limitation, various entities which may utilize the Tern Travel name. Tern Travel is not liable for any direct or indirect damage, injury, death, loss, accident, delay, inconvenience, or irregularity of any kind which may be caused by any act or omission beyond its control, including, without limitation, any willful or negligent act, failure to act, or breach of contract of any third party.
Tern Travel is not responsible for any loss, injury, death, or inconvenience due to delay or changes in schedule, overbooking or downgrading of accommodations, acts of government, bites or attacks by animals or insects, sickness, lack of adequate medical care, evacuation if necessary, weather, natural disasters, acts of God, acts of terrorism or the threat thereof, quarantine, criminal activity, or any other cause beyond its control.
Tern Travel reserves the right to change the price of any trip at any time. Tern Travel may, as deemed necessary, alter or omit any part of the scheduled itinerary, substitute accommodation, replace fitness leaders, or any aspect of the trip without notice and without refund.
Trip participants grant Tern Travel express and irrevocable permission to capture and use photographic and video records of its trips, in which they may be featured, for promotional and commercial use without compensation to trip participants. Trip participants release Tern Travel from any and all claims for libel and invasion of privacy in connection with the use of said photographs and video records.
Tern Travel reserves the right to change the Terms & Conditions at any time without notice. The current terms & conditions are always applicable.

Tern Travel LLC will take all appropriate steps to keep your personal information confidential. We do not and will not sell, rent, or give away our clients’ personal information to other companies for them to use in selling others’ products or services.
